I used to use a Neat scanner and software to scan and categorize my receipts for tax purposes. Now I can't use that software anymore and they want me to pay a monthly subscription to store my data on the cloud. I would prefer to keep my stuff local and do my own backups.
Is there anyone here who would share with me what you are doing to scan, track and run reports for expenses? I need to be able to break things down not only by category, but also by building.

Quickbooks will let you do what you want regarding tracking and reporting of expenses. There is also an "attach" feature so you could scan a receipt and attach it to the corresponding expense in QB. I keep thinking I will go paperless and scan my receipts and then I just end up punching holes in them and sticking them in my year notebook.
I have a printer that will scan things into a PDF file but it isn't exactly convenient to do.
Supposedly the Epson Workforce scanners and the Fujistsu ScanSnap are good stand alone scanners but I hate to spend the money just to scan a document.

I absolutely love my Fujitsu Scan Snap. When shopping, I learned it was the one doctors and lawyers use - heavy volume, reliability factors. Anyway I bought third party vendor software by Mariner for the Scan Snap. Maybe they make software for your neat desk? --73.215.xxx.xx |

Fujitus Scan Snap. I scan directly to Windows folders but there is also software that comes with it (which I have not used) that allows for scanning into a form of database, I think.
If you sign up for a Home Depot commercial card, they will email you each individual receipt! So much easier.
I track expenses per property via Categories and per unit via Tags in Quicken. Reports are easy.
Costco.com tracks my orders and I can download the receipts.
Amazon Business allows me to assign job codes/PO numbers to each order and I can download those receipts as well. --50.82.xxx.xx |

So WMH & Tony you both have gone totally paperless? What kind of system do you have for the files? A data folder for the year and then naming the receipt file by date or name?

Fujitsu Scan Snap! Just bought one and LOVE it. Went totally paperless about 3 years ago. My only regret is that I didn't do it sooner! I cut my storage down to 1 banker's box with the original leases and a few other things. It's only half full at best.
Before the Scan Snap, I used my printer that scanned. Took forever to scan, but still was worth it.
You can get an external hard drive for dirt cheap now. Can scan to your hard drive and back up to the external. I use the external for storage and back up to another external at a family member's house over the net. Either way, storage is cheap anymore. An external 2TB hard drive is the size of a wallet compared to the 5 Bankers Boxes I used to have! --98.175.xxx.xxx |

As for filing system, what I do is have a main folder for the year. Under that, I use subfolders for the property, then month. It doesn't matter what system you use, just be consistent year over year so you can find stuff easy. --98.175.xxx.xxx |

The Fujitsu is amazinb, as far as storage space is concerned, I have #.jpg files from 1980 along with up to 2011 scanned onto a 64big thumbdrive, still near halfway filled, you might get lost chasing around on a terabyte size.
