I've got a showing coming up this evening and the response has been great. I've got 15+ people saying they'll be there and a few more maybes. I know a good chunk of those won't show up but it still seems likely I'll have a good number of people there

2 questions

1) Any tips for managing a large crowd like this? Normally with just a few people I kind of tour-guide people around, but that won't be possible. My thought was to stand at the front door, welcome people and handout a 1 page sheet with info on the house and the application process. Am I overthinking this?

2) How do you handle if you have multiple applications? I have written criteria but I'm thinking more of the $25 application fee. Do you refund those if the person is qualified but someone else is faster? --208.102.xxx.xx

1. Prepare an 'Information Sheet' to give every person who shows up to look. Put down every important detail, to answer every possible question they might have. You will still have to talk a lot.

2. This is what I do: Let's say 3 people fill out rental applications, with the $25 fees attached - on the same day. If I process them, I keep the fee. However, if I process applicant A, find out he/she has a spectacular background and if I decide to rent to him/her without processing B and C - then return the fees to B and C after A signs a rental agreement.

Application fee is to process an application, not a way to make money. Put yourself in their shoes - would you like to pay a fee and not be considered? --99.59.x.xxx

We schedule 10 min to 15 min time for those who have confirmed showing up. If there late-- sorry I have to stick to my schedule. (Why lose someone who showed on there time--ON TIME.

App fee is paid and apps are processed in the order received--UNLESS you tender the deposit -- that moves your app to the top-- only cash or money orders accepted for that. While on the premises we do the court re cods while standing by.

The advice above is sound. I too sometimes have 6 to 10 groups coming to an open house. I schedule them 10 minutes a part. I have hand out sheets and a stack of 50 applications. I also have a copy machine on hand in the rental to copy drivers licenses, pay stubs and other important documents. I carry around with me a light weight sealing folder to place all of the competed applications so they won't get lost or others could steel.

I have numbers printed on the applications and the date. So the first ones to turn in their applications also gets a second number. I get checks from the applicants with an address to return those checks for credit checks not done. I will run the 4 strongest groups received that day that meet my requirements. I try to go in order. But if a group of people saw the property today and can't take it until the 1st of next month (15 days away) that's not too much of an issue. If they wouldn't take it until the 1st of the month after, 45 days, I would be looking for another group. Also I make sure to find out if they can complete the process and come up with all of the move-in funds if approved within a couple of days, NO DEPOSITS, all the money soon or I will take someone else. --47.156.xx.xx

I take the info sheet and tape to a cupboard door - take a picture of this so you can compare later, dog policy - deposit is 2 x rent value, water/sewer/trash fee is added to next rent cycle. --76.188.xxx.xx

We usually have one of us at the front door and another inside to keeps an eye on things and answer questions. Inform them they are to show themselves around and you will answer questions afterwards. Have many blank applications to hand out, when that many people show up at once its like a feed frenzy. They all want it and we get many applications with application fee on the spot. --100.6.xx.xxx
