Yes I would like to know how do you inform your tenants that you need to enter their resident to do monthly maintenance or make repairs ? And do you give the maintenance man the key to enter or does the tenant or someone over the age of 18 have to be there ? And do you leave a memo of the time and who was there ? --108.239.xx.xx

Hi Pam,

1st, a quick matter of house-keeping...if that's your real full name, better get a nick name. Anything you post online can and will be used against you in a future court case by an angry tenant's lawyer or a federal Supreme Court confirmation hearing (sorry, couldn't resist!).

Anyway... I usually let my contractor/handyman call to schedule the appointment when someone is home to let them in. Reduces risk of being accused of theft. Yes, person must be age 18 or older. I don't want a 15-year-old girl accusing my handyman of being a peeping Tom while she was in the shower. We live in a Me2 world...some legit, some not. CYA.

If the tenant or their appointed rep fails to be present or allow access for a confirmed appointment, I give them ONE reschedule at no charge. After that, per our lease, there's a $40 charge or the cost of the service professional's service call, whichever is greater. To get paid, the service provider must give me an invoice with the date and time they confirmed the appointment and the date and time they stopped by with a note stating that no one was there or that the tenant was home and refused to honor the appointment.

My lease spells all this out. Be sure your lease does to, in accordance with your state's LL/tenant laws and the general feeling of how your local judges/magistrates feel about supporting this type of charge. Most times, it is allowed if stated clearly in the lease and you can document the failure to allow access.

Put the procedure and expectation in the lease and enforce it with some teeth (penalty for non-compliance). --173.20.xxx.xxx

I give them a call and let them know when and then I go with whoever else has to go like the handyman or repair man. I give no keys to anyone other than the tenants. If I don't know the tenant well, I will go when he or she is home. If they are long timers I ask if they will mind if I come in and they don't mind. --73.178.xxx.xx

To my knowledge, there is no requirement of notice of entry in AR so you can go in at any reasonable time. That being said, I make it a practice that I or anyone else does not enter without the tenant being home unless they have specifically requested that and we have made an agreement ahead of time. For filter changes, my handyman calls/texts to set an appointment when they will be home. IMO that is the best way to handle it. No need to expose anyone to the possibility of false accusations for theft of property. --166.137.xxx.xx

Sounds like time to study local and state tenant rules, in my area we give 24hr written notice for repairs, no animals are allowed so if anything is discovered we call them to come home from work and begin the process of re-homing, either the animal goes or the tenant - mostly both. --76.188.xxx.xx

Our policy is firm: Repairperson calls ans sets an appointment. An adult must be present or we will nto enter.

A sure fire method to pizz off your resident is to show up unannounced or enter with a master key in their absence.

We will NOT enter without them present even if they say it's OK.

I think it demonstrates your respect for them, keeps the repairperson safe, and eliminates complaints about theft or tracking in mud.

Monthly seems a bit excessive, can you get better filters so you can do it quarterly instead.

As for repairs, I ALWAYS offer the tenant the option of being there and try to schedule when they can. If I cannot do that, I will be there, at least to set the repair up and check periodically. I have repair people, I trust, but I don't necessarily expect my tenants to trust them.

As for notification, a text or call is usually all my tenants need. --108.44.xx.xx

I used to send emails, but then had a tenant irritated at me because I sent the email two days in advance but she hadn't checked her email in four days. Text is the new email, and I wait for text confirmation before entering. If I'm sending a contractor, I let them call and schedule with the tenant. If I'm going, I just tell the tenant when I'll be there. --204.210.xxx.xxx
