I’m new to site managing and was wondering because I was asked to call a previous resident to hand in they’re keys or we will charge them this months rent. What do I say when I call and how to I word it. This is section 8 so the tenants aren’t the easiest people to deal with. --173.161.xxx.xxx

Apparently it’s in the lease they have to return the keys or they will be charged. She was told she needed to when they did the move out inspection. So the documents are there I was just asked to make the phone call. I’m new and don’t even understand what it is I’m doing so I literally just want to know how to word the phone call. --173.161.xxx.xxx

The owner wants the keys because that acknowledges that they surrendered the apartment back to the owner and the tenant cant say it was there apartment still and you stole all there expensive stuff.Here is how the conversation will probably go.Hi Tom,this is Mary over at ABC rentals,hi whats up? you never turned in the keys when you left this weekend and i need the keys back asap?i am all out why do you care about the keys that is stupid? boss said if you dont return the keys i have to charge you this months rent? thas is stupid,you have to change the locks anyway,everyone there is incompetent,i will have the keys there by tomorrow.That is if they even answer the phone so if not just leave a message telling them you need the keys and what will happen if you dont get them

We always send tenants who are vacating a list of things they need to complete before they leave one week before ther departure. One of those is reminding them to leave keys, garage remotes pool fobs, etc. We also remind them they will be charged for the missing items and they will be charged a per diem for every day until we receive them. --71.75.xx.xx

Just provide her with a timeframe for when you need the keys and let her know that if they are not returned within that time then, as per her lease agreement, she will be charged for another rental month. But the problem here is likely going to be that she is Section 8, so if she isn't really paying anything herself you need to figure out how to make her care.

Maybe start by contacting the HUD office and let them know. You may have to file a complaint against her with them. I don't rent to S-8 so I'm not sure of the procedure.

If you can make her think she can lose her free ride with taxpayer money maybe she will comply.

I need the keys and YOUR forwarding address so I can get this deposit back to you ASAP. I don't go into money owed because they DIG IN knowing there wrong. When you get the keys that's the time to figure damage- and hold over rent. GET the keys first....... always. Judge's will give you a pass on most everything if you have the keys from Tenant. Also take pic of where you found those keys inside the unit-- or in the door knob or where ever.

"If you don't return the keys, under the lease you will owe another month's rent. And since you are on Section 8, that means we will be reporting this to the Section 8 office because they are on the lease with you, and that could make things difficult for you. I really want to avoid that, so I need you to return the keys before 5 p.m. tomorrow."

"I know that it doesn't make much sense to make a big deal about the keys, but the lease, which is Section 8 approved, requires that the keys be returns. I'd really appreciate your help on this."

You "don't even understand what you are doing"? How on earth did you ever get a job as a site manager. If I were you, I would get up to speed as to what is going on, and how to handle it.

Simply put, they have (or have not) moved out as agreed, but you are not in possession of the unit until those keys are returned. He who has the keys is "in possession". If you are not in possession, they owe rent, since they are in possession.

So use your line in the sand, firm voice to get that across to the tenant or use what ever skills got you hired to convince the tenant to hand over the keys, or it you don't get them, charge them another month rent which will involve the sec8 office and you need to call them to explain. --108.44.xx.xxx

Good question. Don't be shy and be specific.

No matter what WE say here, you need to go back to your boss and ask what THEY want you to say and do. And as Frank mentioned, you must be LICENSED to do certain things with resident.

"Hi Mary, You need to return your keys to the office. If we don't have the keys by Wed you'l have to pay and extra month." Last resort: "I can meet you to pick them up."

The biggest thing is PROOF they have given up possession. WE will accept that in a text.

"Mary, if you are all out please answer YES to this text."

Keys are a buck. Not worth chasing. It's the legal possession that is important right now.

I cannot picture Sec8 paying another month of rent for someone over keys. She has probably moved out and Sec8 stopped paying. Sometimes possession is obvious.
