Just wondering how everyone keeps their property to do list. I always have a bunch of odd things to do. I tried the following:
-Write everything down in my planner and then cross it off but I wasn't able to share it well with any one that was working for me. I could take a picture and text it but didn't like that.
-I tried google keep which is like a simple version of ever-note or google docs. The best part is that you can share the file with any type of phone. This is my best one as of now, looking for something better.
-Apple Notes for Iphones, I tried writing everything down but I could only share it with people with Iphones, I think. Didnt work that good.
I think my next thing I'm going to try is put all of my google sheets (excel), then get a shareable link where I could send a link to them at the beginning of the day on what to do. Mean while keep all of my files located on one central document. I could have multiple tabs with other info.
I was wondering if any one had something great they used???

I carry a spiral bound notebook and a pen with me. That's all I use. Simple tasks to a helper, I just text.

Upon start of a refurb job I tape a list of tasks on the door for each room, or a conspicuous place for living room, kitchen. I tape a list on every interior door, as tasks are completed the contractor marks through that item, takes a picture and texts me a picture of list and room. --72.172.xxx.xx |

A Jr legal pad attached to a clipboard of the same size. In bright neon colors. That way when it gets buried under a pile of whatever it's easily found by the bright color.
Because we turn a lot of units at the same time I use Wunderlist. I make separate lists for everything. The carpet cleaning list emails to the carpet cleaner, the cleaning list emails to the cleaning crews, etc. Integrates across my iPhone, iPad & Windows desktop. I have seen people use Google Docs and Google Sheets for this. They set up a shared file or directory that both people can edit and they use that for communication back and forth. If the boss has a list of things they put it in there. If the worker has questions, they put them in there and the boss responds. It keeps a journal of communication between the two. --70.178.x.xx |

I use Todoist. It is like a simple task list but has many more features. You can break it out by property with lots of room for specifics. It has due dates, text or email reminders of due dates and start date. It can track your time. If you have a meeting it will give you a travel time reminder telling you when to leave based on google maps and has location based reminders.
It integrates with 50+ apps including google calendar, chrome, gmail and ios and google and apple maps and outlook. You can share notes and assign tasks to others as well as create a task from an email. It syncs with every device.
I've tried them all but love this one. There is a free version but premium offers a few more features. Premium costs about $25 yr. I really couldn't function without it and beats paper which I always misplace. --71.75.xx.xx |

I have a "master list" typed every Sunday. I add to and from that list. From that list, I have daily lists of what I need/want to accomplish. Every evening I go over the next day's to do list. Often times, I put that on a separate sheet.
I give my handyman a typed list of what to do. I like the idea above for a big project of breaking down each task by room and taping it on the door. Of course, then he may not be able to figure out how to do all of one task at a given time, even if in different rooms. --72.95.xx.xxx |

I have to say for different purposes, your to do list will be different.. If its one time job, like rehab, fix up, then pen and paper is sufficient.. If for your rentals, I like the idea of tracking what was done at when.. You always always need to go back and find out when a fridge gasket was replaced last time, an ignitor was fixed with the gas stove, to assess if there is a case of abuse/misuse vs. normal wear and tear.. also for liability --71.232.xxx.xxx |

My husband tracked his 'handyman' activities in Excel, for years. We could always go back to that list to see "Hey when did we install that dishwasher at Unit 701-A?" He has since switched to Google Sheets, but same idea. He inputs all his accomplished tasks for that day each evening, and that is also where he inputs any maintenance requests, which are assigned a priority, so he can sort and have more important stuff float to the top.
I track my stuff in Outlook calendar, and I copy my Google calendar. So I have a local copy and a cloud copy which syncs with my phone.
When we do a rehab, I get a big piece of paper or cardboard and write it all down, room by room, and hang it on the wall. --50.82.xxx.xx |

I use the system NE and RB have in place, in fact my aunt must have used this before or during WW2, and ever since, something important you can delegate when you run into a good guy at the nursery or someplace just let them get started - turn that property folder sideways until the job is done, I have well prepared units so have a list bi-annually is kinda the normal thing here, just remember once you pay the job turn down the folder. --76.188.xxx.xx |

It is really just a matter of personal preference and style. I have a problem with paper so I do everything digitally. Besides I like having instant access to records. It has also made tax time so much easier and faster.
As for repairs and parts replacements I attach every invoice and receipt to the check in Quickbooks online. I also file them in Dropbox by property by year along with photos when appropriate.

Eddy,
I have tried a ton of digital "solutions" but they slow me down.
I keep a 3 part memo form with me. When I see a problem or think of a task I write a work ticket. Most helpers aren't up on digital.
Date, address, task.
Done. No copying required.
Pull out a copy for my bulletin board and hand it to the appropriate helper with their name and today's date.
If needed I snap a pic and text it to them.
Contractor keeps a copy, staples the second copy to his bill, and I take my copy off the bulletin board and drop it in the "to be filed" box where an office helper puts it in the house house file. KISS. Faster than any digital I've tried.

I have a POAM that is constantly changing. I just have the items that need to get done at each place so I know each item and the priority for each item. I use a simple note pad, I write down and go over my to do list for each property every day.
The center console in my truck is divided into basically file compartments for the daily stuff that collects. Checks, receipts, blueprints, misc paperwork etc. Everything has its place. At the end of the day its cleaned out and filed where it needs to go at my office.
My business partner loves digital stuff and it never works for him, but he is determined to make it work so I just let him and stick to my note pad. --24.45.xxx.xx |
