Hi All, How often you send the safety letter to tenants? What would you do if the tenants never reply to safety letter? The safely letter just the tenants if they aware of anything is unsafe with yes or no question. Thank you in advance.

I have never sent such a letter nor do I see any reason to. Tenants generally speak up when something is wrong. Unlike others, I interact with my tenants by collecting rent, doing outside work, having my own garages and sheds at the properties ... so I am at the properties and speaking with tenants routinely. --72.95.xx.xxx

This will be interesting if your insurance discovers you rely on a tenant to tell you something is unsafe, must be proactive to prevent the 11,00bux surprise - hey renter how did this happen, Oh it has been like this about a year - the bath cabinet fell on the 6 year old resulting in facial surgery cause it was loose for so long.... --76.188.xxx.xx

why not take a handgun out and shoot yourself in the foot?
When a tenant signs a lease we give them a form with 5 items sheet. It says if you see something that needs attention please submit item to office using this form. Get maybe 2 a year. --99.103.xxx.xxx

I send a brief newsletter with the rent receipts. In that I often remind tenants about safety issues, like clearing sidewalks. I also mention fun things like activities in the community to do, or financial things, like Dave Ramsey's budget ideas.
I do not think you'd be doing any harm legally by doing a survey. But, a questionnaire isn't a substitute for eyeballing things yourself. Together, both asking your tenants, and taking a look yourself, you should be able to catch many issues before they are a problem.
I find it so surprising that so many are afraid to make tenants partners in safety.
Maybe it's because I only have a few houses, and don't plan on having more than ten, but, I prefer to lead, teach, communicate .
I'd say maybe once a year for your survey, probably the same time as you give your annual rent increase. But, make sure you aren't relying on only that survey.
Surveys are excellent ways to teach, btw. In just reading the survey, you are reminding tenants about safety.
Off to go buy sidewalk salt shakers for my properties. I'll drop them off at the back doors with a text reminding tenants to clear sidewalks within 24 hours (my city's rule,) and that they can refill the salt shaker with salt they buy when it's empty. My husband and I were getting ready to go out of town on vacation. Things had been very quiet on the apartment management front -- no repair requests for six months. We decided to be proactive, get a list of repair needs and schedule a "handyman day" where our handyman could just plow through the list and get everything in tip top shape.
We sent out a questionnaire, expected to get some feedback. Nothing. Everything was fine. We had a great vacation and got zero calls. --98.146.xxx.xx

Every 3, 6 and/12 months I do inspections on my rentals. Testing and replacing battery's in Smoke Detectors and C/O Sensors. I also test how "HOT" the water is at each fixture and adjust the water heater so people won't get scolded. I make sure the locks work, windows lock and the Emergency Security Bar Release levers work. I check the A/C and Heater filters. I clean out the dust and lint under my refrigerators coils and dryer ducts.
I keep a log and sometimes I have my tenants initial my report on their unit.
Many times when I ask a tenant something they forget and respond wrong, never to correct themselves. If I relied on a letter and response, my buildings would have all burned down by now. --47.156.xx.xx

when I use to be in the mall, shopping center and office building business the best lawyers money could by said ....... that if you know of a hazard and dont immediately fix the hazard then the property is liable. For instance if you know of a tripping hazard and only put safety cones and caution tape around it then the property IS liable - no if ands or buts ! Same with security cameras at Walmart parking lot - there is a presumption of security and Walmart is now responsible for all lot issues --24.34.xx.xxx

At the bottom of our monthly billing statements, there is a section they return that says repairs/concerns:____________.
It has been on every bill since the very first rent check I ever received. I have every complaint or blank form that's been sent back to me since I started.
Sometimes I even receive 30 day notices on this paper. The tenants that are on auto draft never send them back, because they are on auto draft but they still get them in the mail. So if there's ever any question in court as to whether or not a tenant has had an opportunity to present a concern to me, I can take in a gigantic box full of 12 to 13 years worth of stubs that of been returned from tenants. Some blank, some with repair requests on them.
Sending one random letter once a year is going to be kind of tough. I like the consistency that the monthly billing and the monthly opportunity to send in any repair requests provides for my tenants and provides for me to be able to establish a history. --50.107.xxx.xxx

I would change the name from "safety" to "property condition updates"... although I still wouldn't do that with current tenants.
when I buy new buildings that are occupied, I give the residents a two sided paper ... one side is for things they feel "need" to be done. the other side is for what they "want". Very surprising what does, and doesn't, come back on these. --72.95.xx.xxx
