hey guys...i hope everyone is well this hump day! i am here cos this morning the maintenance was doing work on an apt. it was so horribly dirty, and had food, clothes, everything everywhere...people live there. now i am not shocked, those things happen all the dang time...not even funny...but none the less the maint. supervisor wants us to write a letter about cleaning up, and i have mentioned how it attracts bugs and is in violation of lease to not maintain a clean premises but it doesnt seem to have the wording i want...any suggestions??? thanks --65.83.xxx.xxx |

Here's a suggested wording:
Dear tenant. During a recent maintenance call, our employee noticed food and filth collecting in your unit. This is a violation of your lease terms and could pose a safety and health hazard to you and other residents as it may attract mice, roaches or other vermin. It is likely that city health authorities could also use this as a reason to shut down my property and you would lose your home. This is not acceptable and must be corrected within 48 hours of receiving this notice, or unfortunately I will have to file eviction due to violation of your lease terms. Please do not delay and act to correct the situation immeidately. My employee will return for a followup within 3 days. Sincerely, Management. --168.166.xx.xx |

PS...also add: "This will be the only notice sent addressing the problem. If the problem occurs again in the future it could result in immediate cause for terminating your lease". That will hopefully keep the tenant from allowing the unit to become dirty again and figuring, "oh well they just send me another note if it gets too bad". --168.166.xx.xx |

as the letter writer i was stuck...real bad...
i can just imagine what you think of the company letter writer who uses no caps and a bunch of elipses...

A letter WITHOUT followup action will be useless. Filthy people most likely were brought up in an environment just as bad or worse. Filth, roach infestations and other vermin is accepted as a normal way of living to them. No matter what you ask them to do, they will NOT change their way of keeping house.

I would not use inflammatory words like "filth". And you must ALWAYS keep the language in passive language.
NOT "our employee noticed food and filth...." but "Food and extensive trash (or debris) were noted in the area, which could lead to vermin or insect infestation."

wow, thanks all for all your help and guidance...
being fairly new(only like 6 months) to the world of property management, i am constantly being told to do a trillion things that i need to be 100% in and sometimes have no clue...i am thankful for mr.landlord...and for all of you who always have a word to lend and advice to give...maybe one day i can help others here too...
