Thanks for being such a good tenant! Your lease is getting ready to expire. If you intend to renew, please let me know 30 days prior to your end of lease date. The rent for this next period will be X-dollars. Because of your excellent tenancy, I've tried to keep this cost as low as possible, but utilities and taxes are on the rise, and we have to make these slight increases from time to time to ensure we can continue to provide you with quality housing. If you have questions, please call me at 555-XXXX.

Or you can just call and let the tenant know, then drop a lease extension form in the mail with the new rent rate pre-printed. That's what I do; never had a problem. --168.166.xx.xx |
